Receptionist/PA to the General Manager

Oak Tree Animals’ Charity is well known for the quality of care it gives to all animals and to those in need of help regarding their animals. We are actively involved with the local community in developing greater awareness regarding responsible animal ownership and safety. Such initiatives require careful planning and evaluation and thus your administration must be as good as our front line service delivery.

To deliver this objective we are looking to offer a 12 month temporary contract (with the possibility of the post becoming permanent) to an experienced and talented person. To perform this role you will be used to facilitating a busy office and working with minimal supervision to deliver results against challenging time-scales across a wide range of activities. These will include correspondence with diverse groups including Trustees of the Charity, our supporters, the media, local government and councils. You will be expected to take minutes of Trustee meetings, produce and distribute minutes researching additional information if required. Central is the management of the General Manager’s diary which will require the ability to prioritise conflicting time pressures.

Reception duties will revolve around face to face contact with the public, employees and volunteers. Providing advice regarding our various services within the community, answering queries regarding adopting an animal and setting up adoption meetings between potential adopters and our qualified animal re homers. Producing minutes of daily meetings and distributing same via internal e-mail. Maintaining records and data bases. Dealing with telephone queries and visitors.

You will be used to operating Microsoft Office and associated data bases to produce correct accurate reports in a timely manner. You will therefore be self-motivated and able to work accurately with minimal supervision. Confidentiality is essential in this role.

The ideal candidate will have experience in a similar position. They will be confident, an excellent gatekeeper: where necessary. Fluent and confident both orally and via written mediums, in possession of tact to deal with difficult situations whilst retaining their sense of humour.

The post is offered over five days (40hours) to be split between the GM’s Office and Reception at an hourly rate of £9.05 per hour. Due to our seven day and Bank Holiday working pattern some weekend and Bank Holiday working will be required.
